How the day runs

Speakers are photographed from two positions so the deck has variety. Stands and sponsors get a dedicated pass. Delegates are photographed with care, because not everyone wants to be in the marketing material.

What you get

A large edited gallery, organised by session, with usage rights for marketing.

What it costs

Quoted per brief. Most conferences are a full day. The full list of services and published starting prices is on the services page.

Where in London this works

Three locations that suit this kind of shoot, each with its own permission rules:

The full list is on London photoshoot locations, with the authority for each one.

Mariya's verdict. Book the location before the guests. Changing a date is easy, changing a permit is not.

Working a full day

A conference is a marathon with no second chances at any single session.

The running order tells me where to stand and when to move, so I need it the day before, not on the morning.

Same-day selects are possible if someone is ready to receive them between sessions.

How the hours actually run

WhenWhat is photographedWhy it is placed there
Before doorsEmpty room, staging, brandingThe only quiet hour of the day
KeynoteTwo positions, wide and closeEvery speaker needs both
BreakoutsA pass through each roomTimed against the running order
ExhibitionStands, sponsors, demonstrationsA dedicated pass, not a rush
NetworkingDelegates talkingHandled with care, not everyone wants to appear

The order matters more than the length. A shoot that starts in the wrong place never catches up.

What you need to arrange

The full running order with room names.

A list of speakers and sponsors who must be covered.

A policy on delegate consent.

A contact reachable between sessions.

What usually goes wrong

A running order that changes without telling the photographer.

Rooms too dark for the speaker and too bright for the screen.

Sponsors added on the day.

No time built in for the group photograph everyone wants at the end.

What arrives afterwards

A large gallery organised by session.

Marketing usage rights.

Same-day selects where the brief needs them.
